ArtFusion / Surface Renovation Event 2024 - 2025
What: Annual National not-for-profit event for the continuing education of professional Decorative Finishers. (mural artists, faux finishers, refinishers, restoration pros, designers)
When: 4 or 5 day event starting on Tuesday, although flexible. I am lining up the 2024 event to be held in the spring and also the 2025 event to be held in the fall. I prefer dates that are the venues less busy time, as long as not within 4 days of a major holiday.
Where: Past events have been in Santa Fe (twice), Illinois, Estes Park, Hilton Chattanooga, Colorado (twice), North Carolina, Horseshoe Bay Resort in Texas.
This event is primarily training for professional Decorative Artists for continuing education. Many locals also attend for classes where experience is not required. I typically have 15 - 20 instructors who each teach a one day class. 4 daily classes run from 8am - 4pm. Evening classes 6pm - 9:30pm.
Meeting Rooms: 4 rooms each day where classes are held. The two smallest could be a minimum of 600 sq. ft. in size with good lighting. I need at least two rooms that are 900 - 1000 sq feet. Instructors arrange their own tables. Each room will need an average of 15 tables and chairs. I usually don’t have a definite number until 2 weeks prior to event when registration ends. Or officially ends!
Room blocks Venues have blocked out anywhere from 20 - 30 rooms per night starting the night before the event starts. Although I have more than tripled the amount of rooms, I have appreciated the lower number on paper so I don’t get an ulcer. The last few weeks prior to the event there is a large surge of registrations. I can provide copies of some past agreements if you would like to use as a guide.
Some attendees may just come to the event for one day and others will try to take as many classes as they can in the week.
My arrival: I arrive 2 days prior to the event. When I arrive I need access to shipping boxes so I can sort through and verify arrivals. The morning of the second day I need access to room so we can cover floors and tables.
Expo: During the event I have a 1 or 2 day expo with an average of 25 vendors each needing a table. Depending on venue location I have combined this with an art show. Hotel guests have loved this!
One evening we have an event party. Party location has varied depending on the venue. I have a musician who entertains with live painting. Typically 7:00pm - 10pm.
At some venues we have had classes that will do something for the venue itself. One class created a faux wood floor out of concrete. At another hotel one of the classes painted a mural. In Santa Fe we renovated several guest rooms. The live painting with musician was advertised within Horseshoe Bay Resort and many resort guests joined us at the outdoor bar area. Great feedback on this!
Food and Beverage: Because classes break at different times, no food and beverage is needed. However, we do need a restaurant on-site for attendees to get food, unless there are options within one block of hotel.

Do I work with the same person throughout the event?
Are there sinks or access to sinks in class areas?
How soon can I start setting up the class areas? Floors and tables need to be covered.
What is my lodging rate? I arrive 2 days prior to event start and stay until either the last day or event or day after.
How soon do you receive shipments from event and instructors?
Do you allow me to bring in a musician one evening for live painting? We have done this in the past at the venue bar and also outdoor pavilion.
If needed are there people I can hire to help cover floors with covering I provide?
Is there an on-property restaurant open for lunch?
