Instructor agreement for 2024
Instructor Requirements, Agreement and contract for ArtFusion Event 2024.
Please read the following information thoroughly. Reach out either by phone or email if you have any questions or concerns. Because of the various class types it is difficult to have a “one size fits all” type of agreement.
How to contact us. Please email all event related questions to Kelsey at kelsey.artfusion@gmail.com or info@artfusionevent.com or you may call during business hours. No event related questions should be texted, or messaged through social media.
Some of the class requirements (sample sizes, tools and requirements), are targeted to decorative “faux” finish classes so please ask if you are unsure of something.
1. Instructors take into account that the majority of students will be flying and taking multiple classes. Sample boards, canvas and other sample materials will not be larger than 16" x 20" in size if on a non-foldable substrate, and a reasonable density and weight in consideration of cost of students shipping. Anything larger must be clearly posted on your class listing. Many of the students will be taking multiple classes so please limit the number of supplies you require them to bring to class.
2. The newer and more exclusive the class is, the more likely it is to sell out. Sometimes all it takes is a name change.
3. We highly encourage you to reach out to your suppliers for product and material donations. ArtFusion is happy to add their logo to your class listing. They may also partake in the expo at a discounted cost.
You agree not to teach the same class outside of your own studio within 35 days of the event start or end date. You may teach a class at your own studio, provided it is a different class type and name. You understand that we want to keep ArtFusion Event unique and not be a copycat of any other industry events. We also want to fill up your class and it’s difficult if you have oversaturated your class offerings.
Fees and Payments
Instructors price their own classes. and will be paid only through PayPal their class earnings minus 25%, within 20 business days after the event is completed. Any special equipment rentals, shipping or cleaning fees are the responsibility of the instructor. Again, reach out to suppliers.
Instructor agrees to…
Be diligent promoting your class through social media, newsletters, your own website. There are many tips posted in the private group for instructors on Facebook. “ArtFusion” will take an active role in promoting your class, but two months prior to the event will be focusing on the event itself and not individual classes.
Workshops should be new and innovative, creative and sellable. You can put new twists on an old technique by using different colors or changing class name. Using these suggestions will encourage artists to come to the event and take your workshop.
You agree classes (day classes) must end by 4pm (evening classes by 10pm) to allow students ample time to clean up and participate in other event classes, meals, activities. You also agree that all class sample offerings will be completed by end of class. This means don't say you will teach 10 finishes if you only really have time to teach and complete 6. Quality over quantity!
You further agree that you will have your class cleaned up and at least in the same condition as when you started, or you may incur a cleaning fee. You further agree that you will not allow any non-registered event attendees into your class area, nor are you allowed to "gift" class spots.
Pictures really do speak volumes . Photos posted on your ArtFusion website class listing should represent what the student can expect their samples to look like at the end of your workshop.
When pricing your class, remember that at Events such as this, attendees are trying to take as many classes as they can, so price accordingly. The Event is a great way to introduce students to your style of teaching and leave them wanting to take more of your classes at your own studio. ArtFusion is a huge marketing platform for you!
We “ArtFusion” will have floors and tables covered in class area. If you are in a class previously used by another instructor, depending on the condition of tables we may use the same coverings. You are responsible for other class materials, most of which you should be able to get donated.
If an instructor would like to cancel their class due to low enrollment, they must do so 60 days prior to the event start date to avoid penalties.
If cancellation occurs within 30 days of the event, the instructor will be responsible for reimbursing the organizer for any non-refundable expenses incurred in promoting and preparing for the class, such as paid advertising, registration fees, processing fees and admin fees. If due to your class cancelation it causes any of your class students to cancel their other event classes, instructor may also be responsible for fees to other instructors affected.
In the case of a cancellation, the instructor must notify the organizer as soon as possible through our event website or contact information listed below.. The organizer will make reasonable efforts to accommodate affected students by either substituting a similar class with another instructor or in some circumstances a virtual class may be substituted and scheduled at the same time as your event class, however the same event fees apply.
Contact us if you need help with class description and pricing. If you need help marketing, we have a list of marketing people that we can refer to you. "We" at ArtFusion Event can also be hired to make posts for $50 including graphic. "One" post includes Facebook group & page, Twitter, and Instagram.
Please remember that "we" are a unique not for profit event and promoting a low cost, affordable event for the masses. You should also consider your Event class as an intro to what you can offer. This means do not do more samples than can reasonably be finished in your class time. This is the most often heard complaint from students of past events.

DONATIONS
I cannot overstate enough to reach out to any and all product companies for class product and material donations. Past attendees have had almost 100% success with this. You can also ask them to send a representative to your class. Just one example is an instructor who had a cabinet class. She not only got all of her products and materials donated, but was able to get a representatives for the paint sprayer, paint, drying rack, spray tent and painting organization. It was a full production class and one that is well remembered and appreciated by all.
